Apaxon CRM

Free · Available now

A CRM that reads the forms you already use, instead of asking you to replace them.

Most WordPress CRMs come with their own form builder and expect you to switch. If you have spent a year building forms in WPForms, that is a bad trade. Apaxon CRM listens to the form plugin you already have, and every submission becomes a contact with the full message kept alongside it.

  • No per-user fee
  • No contact limit
  • Requires Apaxon Core

The CRM dashboard, counted from your own database

Why this one

Four things most WordPress CRMs get wrong.

  • Most CRMs ship their own form builder and expect you to rebuild in it.

It reads the forms you already have

Built your enquiry form in WPForms? Keep it. Every submission becomes a contact automatically, with the full message alongside. Nothing to connect, nothing to configure.

  • Hosted CRMs bill per user, per month, forever.

    No charge per person

A team of five is a few hundred pounds a year before anyone has done any work. This runs on your own site, and the free version has no user limit at all.

  • Your contacts sit on somebody else’s server, behind an export request.

Your data stays where it is

Contacts live in your own database, on your own hosting. Nothing to export, no account to close, and removing the plugin does not delete a thing.

  • Day one is usually a blank screen and a spreadsheet import.

It finds the people you already have

WordPress users, comment authors and WooCommerce customers are already on your site. Discovery works through them in batches — and nothing runs until you press the button.

Corrections

Anything you type wins.

Fix somebody's name by hand and they later submit another form with the old spelling — your version is kept. A form can fill in a blank; it never overwrites you.

Duplicates warn. They do not block.

Somebody who fills in two different forms is one contact, not two. Where two records genuinely look like the same person you get a note and a link to the other one — but both are kept, and you decide.

Two people really do share a phone number. A household, a small office, a couple who both enquired. A CRM that refuses the second one is wrong more often than the duplicate it prevents.

What's in it

Everything in the free version.

  • A dashboard counted, not estimated

Contacts, companies, follow-ups due and customers — every number read from your own database. The funnel shows how many people sit at each stage, and the stages are yours to set, never something the plugin guesses.

  • Contacts and companies

Link people to the organisation they work for. The company page shows everyone there and everything that has happened to any of them — because “what is going on with Acme” is a question about six people.

  • Notes and a full timeline

Every form submission is kept as a note, field by field, exactly as it was typed. When a customer disputes what they asked for, what matters is what they actually wrote.

  • Tasks that open where you need them

Late, today, coming up, no date, done. The screen opens on whatever needs attention. Adding one takes a single line, because a follow-up gets written down straight after the call or not at all.

  • A task with no date is fine

“Ring them back at some point” is a real intention. Being forced to invent a date is how people learn to ignore dates, so it waits under No date until you give it one.

  • Tags and lists, kept apart

A tag describes somebody — Manchester, VIP, wholesale. A list is a group they can ask to leave — newsletter, trade customers. Confusing the two is what makes a CRM untrustworthy a year later.

  • Unlimited custom fields

Boiler model. Policy number. Vehicle registration. Renewal month. Whatever your trade needs to know that a general CRM would not think to ask — unlimited, and free.

Apaxon CRM Pro

Pro adds code. It never unlocks it.

Pro is a separate plugin that brings new features with it. It does not unlock anything in the free version, because there is nothing in the free version waiting to be unlocked — the pipeline code does not exist there at all.

That matters practically. Remove Pro and the free CRM carries on exactly as before: same contacts, same companies, same tasks. And if your subscription ends, your pipelines stay and your deals stay where they are. What stops is updates and support.

See pricing
  • Deals, with pipelines and stages you define
  • Multiple pipelines, for businesses running more than one process
  • Probability per stage — a number you set, never one the plugin infers
  • Merge two contacts that turned out to be the same person
  • Import a spreadsheet, with column mapping

Questions

Which form plugins are supported?

WPForms today, through Apaxon Core’s connected sources. Support for others is added in Core, so the CRM picks them up without needing an update of its own.

What happens to my contacts if I remove the plugin?

Nothing. The database tables are not deleted, not even behind a setting. Settings and scheduled tasks are removed; your contacts, notes and history are left exactly as they are, and reinstalling picks up where you left off.

Do I need a licence?

No. Apaxon CRM is free, with no user limit and no contact limit. You need Apaxon Core installed, which is also free.

Is anything sent anywhere?

Your contacts never leave your site. Apaxon Core talks to wpapaxon.com only about your licence, and only if you have entered one.

Can I import a spreadsheet?

Not in the free version. Discovery finds the people already on your site, which covers most cases. Import with column mapping is a Pro feature.

Does it slow my site down?

It does nothing on visitor page loads except when a form is submitted, and then only to record the contact.
